Direct Mail for Alumni Giving: Why It Works
Colleges and universities are seeing a consistent decline in the number of alumni donors.
In 2025, the median number of graduate donors fell by 3.5%, marking the fourth consecutive year of decline. However, 75% of graduates say they're proud of their alma mater.
Fundraising campaigns need to turn that existing pride into a reason to give. Incorporating direct mail into these campaigns gives advancement teams a tangible way to reach alumni with messages that reinforce their connection to the school.
Segment Before You Send
Not every alum has the same relationship with their school. Sending one generic message to every alum will not work.
Segmentation allows advancement teams to group based on shared characteristics such as class year, giving history, location, engagement level, and academic program. The more specific the groups are, the more relevant the message will be to alumni.
Consumers are much more likely to engage when mail feels tailored to them. For example, a recent graduate might respond better to a message about staying connected to campus, while a longtime donor may be more interested in seeing how past gifts were used.
Personalize the Message
Personalizing a letter involves more than adding a name at the top.
A mail piece can reference an alum's academic major, residence hall, sports team, student organization, or a specific professor or class.
Adding a short line like “Calling all Hammerman Hall alumni” can be the difference between a letter that gets a response and one that gets tossed.
Give Alumni a Reason to Respond
Alumni are more likely to respond when the message connects to something they remember or care about.
Use Nostalgia
Showing memorable landmarks, student traditions, and moments from student life brings alumni back to their time on campus. A photo of the quad or a mention of a memorable professor can do more to grab attention than a generic ask ever will.
Show the Impact
63% of donors say they want to know how their money is used before they give. Highlighting the students, programs, scholarships, or campus initiatives that benefit from donations shows alumni exactly what their gift can support.
Make Giving Easy
The piece should give alumni an easy way to respond by including a QR code leading directly to the campaign or a reply card to mail back. A donor who has to hunt for a way to act is less likely to follow through.
Strengthen Alumni Connections
Alumni fundraising takes more than a one-size-fits-all message.
The right message can remind alumni why their connection to the school still matters and give them a clear reason to support what comes next.
